Directors’ Associate/Office Administrator
Location: Atlanta, GA

The Directors’ Associate/Office Administrator is responsible for the administrative functioning of the office, and management of chapter and program practices. The position reports directly to the National Field Director. The successful candidate will handle a wide range of responsibilities and is expected to be flexible and able to multi-task in a fast paced non-profit office.

We are seeking someone who is energetic, has a strong administrative managerial background, and is an independent worker. This position requires a service-oriented attitude, a committed work ethic, strong organizational skill and effective communication ability.


RESPONSIBILITIES

Administrative

· Maintains all agency insurance programs
· Maintains employee enrollment, payroll and benefit program forms
· Retains leasing, purchase or service contracts for equipment, service programs or computer systems
· Facilitates relationships with vendors, including building management, cleaning and other services
· Monitors costs / ensuring competitive bids for printing, and other services
· Performs responsible budgetary projection, purchasing, property, and inventory control duties in accordance with rules, regulations, policies, and procedures.
· Compiles information and records to prepare purchase orders for procurement of materials; compares prices and specifications.
· Maintains a detailed inventory record of current WAND properties other than real estate and expendable operating supplies by recording descriptions of property, date of purchase, identification numbers, locations, and related information.
· Sorts and distributes incoming and out going mail.
· Maintains petty cash fund.
· Schedules and coordinates meetings, makes travel arrangements, answers and screens telephone calls
· Supervises maintenance of office, including janitorial service;
· Oversees maintenance of computer network, and office equipment; oversee new employee orientation, maintain filing system; order supplies; update and implement office policies and procedures.

Program
· Coordinates mailings for events, membership, etc.
· Provides a variety of information and answers to questions regarding the specific functions or operations of chapter, program and office systems.
· Assembles data from various sources and compiles or tabulates into final format.
· Processes complex materials such as applications, or financial records with the responsibility for handling problems and correcting errors which require working closely with both membership, staff and the public.
· Edits a variety of material and data for completeness, accuracy, and adherence to WAND standards.
· Prepares memoranda and directives on administrative decisions.
· Responds to inquiries verbally and in writing concerning Chapter functions.
· Performs related duties as required for efficient operation of membership or affiliate initiatives.
· Coordinates Chapter, Partner and membership development
· Assists WiLL President and staff in managing systems


QUALIFICATIONS

· Bachelors degree is preferred
· Should have a minimum of three years work experience in the corporate or not for profit professional office environments
· Must be proficient with computer programs including Eudora, Word, Access, Excel, Internet etc. Familiarity with EBASE is a plus.
· Requires a strong sense of urgency, as demonstrated in previous positions
· Must be detail-oriented, with strong organizational, office managerial, clerical and record keeping skills
· Must be resourceful and able to take initiative in a changing workplace environment
· Must communicate effectively, anticipating needs and keeping staff informed of problems or issues affecting job efforts


COMPENSATION/BENEFITS

Based on experience, plus employer-paid health contribution, and retirement plan. Liberal vacation and personal days.
